Information We Collect

• Business Information: Details about your business that you provide when requesting a consultation or using our services.

• Payment Information: Billing details processed securely through our payment providers (we do not store full card numbers).

• Usage Data: Pages visited and interactions with our website.

• Device Information: IP address, browser type, operating system, and device identifiers.

• Communications: Messages and calls you send us via phone, email, SMS, or contact forms, including call recordings and transcripts.

• Google Account Data: If you use AIBT Concierge, your calendar events and to-do list items, accessed with your permission from your own Google account. See "Google Account Data" below.

How We Use Your Information

• Schedule and confirm consultations, strategy calls, and appointments.

• Send appointment confirmations, reminders, and follow-up messages.

• Provide, operate, and improve our services.

• Respond to inquiries and provide customer support.

Google Account Data

If you use AIBT Concierge, our personal assistant service, you connect your own Google account so your assistant can manage your calendar and to-do list on your behalf. This section describes exactly what that involves.

What we access. We request two permissions, and only these two:

• Google Calendar events (calendar.events) — to read your upcoming events so your assistant can answer questions about your schedule, and to create, reschedule and cancel events when you ask. We deliberately do not request the broader Calendar permission, because we never need access to your calendar settings, sharing or permissions.

• Google Tasks (tasks) — to maintain your to-do list: adding items, setting due dates, marking things complete, and reading the list back to you. We use your own Google Tasks rather than a private database so the list stays visible and editable in Google Calendar and the Google Tasks app, and so you keep ownership of it. Google Tasks offers no narrower permission.

How we use it. Only to provide the service you asked for: answering questions about your schedule, creating and changing appointments at your request, arranging times with third parties on your behalf, maintaining your to-do list, and sending you two scheduled summaries a day. We do not use your Google data for any other purpose.

How we store it. Your calendar and task content is fetched from Google when it is needed and is not retained afterwards. We do not keep a copy of your calendar or your to-do list. Your Google authorization token is stored so the service can act on your behalf without asking you to sign in repeatedly; it is held as a secret by our hosting provider, is never written to logs or source code, and is not accessible to anyone other than the operator of the service.

While your assistant is arranging a time with a third party for you, we store the proposed and agreed times for that specific arrangement until it is settled or expires.

What we never do. We do not sell your Google data. We do not share it with advertisers. We do not use it to train machine learning models, and we do not permit our service providers to do so. Your calendar contents and your to-do list are never sent to any third-party language model.

Withdrawing access. You can disconnect AIBT Concierge from your Google account at any time at myaccount.google.com/permissions. You do not need to ask us, and you do not need to wait for us.

Limited Use. AIBT Concierge's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

SMS Messaging & Opt-In

SMS Opt-In: When you provide your phone number through our website booking or contact form and check the SMS consent checkbox, or when you call our business line and request follow-up, you agree to receive recurring automated SMS text messages from AI Business Transitions, including appointment confirmations, reminders, and follow-up messages. Message frequency varies. Msg & data rates may apply.

To Opt Out: Reply STOP to any SMS message at any time. You will receive a one-time confirmation and no further messages will be sent.

No Sharing of SMS Data: No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services (e.g., customer service) is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Cookies & Tracking Technologies

Our website uses cookies and similar tracking technologies to enhance your browsing experience, analyze site traffic, and understand where our visitors come from. We may use essential cookies (required for the site to function), analytics cookies (e.g., Google Analytics), and marketing cookies (e.g., Meta Pixel). You can control cookies through your browser settings; disabling them may affect certain features.

Data Security

We implement industry-standard security measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction, including SSL/TLS encryption, secure servers, and limited access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights

• Access: Request a copy of the personal information we hold about you.

• Correction: Request that we correct inaccurate or incomplete information.

• Deletion: Request that we delete your personal information, subject to legal obligations.

• Opt Out of Email Marketing: Click the unsubscribe link in any marketing email.

• Data Portability: Request your data in a portable format where applicable.

If you use AIBT Concierge and ask us to delete your account, we revoke our access to your Google account, destroy the stored authorization token, delete your contact and conversation records, and release the phone number we provided you. You can confirm the Google part yourself at myaccount.google.com/permissions, where we will no longer be listed. We complete deletion requests within 30 days of receiving them, and we may first confirm the request came from you so that nobody else can have your data deleted.

Because we do not retain your calendar or your to-do list, there is no copy of either to delete. One thing we cannot delete is our operational logs: our hosting provider retains them for a fixed period and they cannot be edited selectively, so entries referring to a deleted account expire on that schedule rather than immediately.

Third-Party Services

We use trusted third-party service providers to operate our business, including CRM, scheduling, and communications platforms (such as HighLevel/LeadConnector and our telephony providers), payment processors, email platforms, and analytics tools. These providers are contractually obligated to protect your information and may only use it to provide services on our behalf. We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. Specific providers used by AIBT Concierge:

• Google — the source of your calendar and task data, with your permission.

• Anthropic — message text is sent to Anthropic's API in two situations. When you message your assistant, the text of your message is sent so the service can work out what you are asking for. And when your assistant has exchanged messages with someone on your behalf, that conversation is sent so it can be summarised for your evening digest; the other person's name is not included. Your calendar contents and your to-do list are never sent to Anthropic, and Anthropic does not train models on this data.

• HighLevel / LeadConnector — telephony, messaging and CRM. Sends and receives your text messages and holds the contact records for people who contact you.

• Render — hosting. The service runs on Render's infrastructure.

Children's Privacy

Our services are intended for individuals 18 years of age and older. We do not knowingly collect personal information from children under 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at [email protected]

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
